Terms and Conditions

  1. Session Deposit and Payment: 50% of services are due within 24 hours of confirming a session date via phone or email/text. This includes a $150 non-refundable Retainer Fee. Payment is due in full the day prior to the session. Sessions dates are unable to be held based on email communication.

  2. Reschedules: The client will let the Photographer know as soon as possible in the event of a reschedule. The Photographer will rebook the session at the next best available date for the client and apply the existing Retainer Fee to the new session date. If a date reschedule is needed within 14 days of the booked session date, a new Retainer Fee will be applied to the new session date.

  3. Cancellation Policy: If a client wishes to cancel a session and not reschedule, the client must provide at least 2 weeks notice and the Retainer Fee will not be refunded to the client.

  4. Petite Sessions: Petite Sessions are available year-round except on weekends. 

  5. Special Mini Sessions: These sessions are non-refundable and go on rain or shine! If the rain is heavy and not intermittent the entire Mini Session day will be rescheduled at the next available date for the Photographer. The Photographer cannot reschedule a special session at a clients request as the session fee is based on a special event not a single booking. Mini Session bookings are transferable to a friend or family member if you can no longer attend.

  6. Additional Subjects: Session fees include up to six subjects. If additional subjects are to be included in the session an additional $125 per couple will be added to the session fee. Additional subjects added on the session day will be billed to the client post-session and the balance must be paid before gallery will be sent.

  7. Ownership: All digital negatives (photographic computer files) remain the property of the photographer and can be used for marketing purposes. The client shall inform the Photographer if certain images cannot be shared or used for marketing purposes. 

  8. Client usage: The client obtains prints for personal use only, and cannot sell said photographs, have them reproduced or authorize this by any other parties. For publication purposes, the client must ask the photographer for permission and credit the Photographer in the publication.

  9. Social Media: The client will not alter any of the photographs that are shared on social media or anywhere else on the internet. The client will credit the photographer by tagging the Sophie Serrano Instagram or Facebook page, or by linking or using the company name as a hashtag.

  10. Failure to Perform: If the Photographer cannot perform due to illness, casualty or other cause beyond her control, the Photographer will return all funds paid to the client but shall have no further liability with respect to the agreement. This limitation on liability shall also apply in the event that the photographic materials are damaged in processing, camera malfunction or otherwise lost or damaged without fault on the part of the Photographer.

  11. High Resolution: Images delivered in High Resolution and 300dpi with 3000 Pixels in the longest edge.

  12. Back ups: All client photography will be kept and backed up for a minimum of 12 months. After 12 months the Photographer is not liable for any claims and the client files may be purged and backups deleted.

  13. Liability: It is the clients responsibility to take care of themselves and their children during photo sessions. Sophie Serrano and/or Sophie Serrano Photography is not liable for any accidents to any person, belongings or any damage to public or private property during the photo session or consultation.

  14. Covid-19 Liability Release Waiver: The client abides by and accepts the listed Covid-19 safety precautions and liability waiver for the session. Read full precautions and release here.

  15. Editing: The client accepts that all photographs will be taken and edited at the photographers discretion based on the photographers experience and artistic view. All deliverable images will have standard editing, including a light skin retouch, light and color adjustments. Any extra editing requirement by the client will be charged in addition at $35 per image if accepted by the Photographer. Special editing requests are not binding instruction, although every effort is made to comply with the client's wishes. 

  16. Photo Requests: If the client has specific photo requests they shall create a ‘shot list’ for the Photographer at least 2 weeks in advance of the session date. Special requests are not binding instruction, although every effort is made to comply with the client's wishes, the Photographer does not recreate or replicate other photographers work. The Photographer will do their best to honor special requests but does not guarantee any specific picture nor incorporate any specific background, location or group arrangements, due to changes in weather and the availability and willingness of subjects. 

  17. Digital and Print Ordering: All sales for digital and print orders are final and non-refundable. 

  18. Out-of-Area Sessions: All session travel within Philadelphia city limits is included in your session fee. Sessions outside of this service areas are subject to a minimum $50 travel fee, calculated as $25 per 15 minutes of travel time (to cover Photographers travel time, fuel, mileage etc). Additional fees can be added for tolls/fees/travel time at the photographers discretion and will be agreed by photographer and client prior to booking so client is fully aware of any additional charges for their session. These fees can be billed separately to session fee once client address has been provided.

  19. Special Contests and Not-for-Profit Donations:

                a) Sessions are Petite Sessions and include 20 high res digital images.

                b) A maximum of 5 participants are permitted for the session.

                c) Additional photos can be purchased for $15 per photo.

                d) No refunds, partial refunds, trades, cash value given or exchanges.

                e) Session dates must be agreed within 7 calendar days of winning announcement.

                f) Session date cannot be postponed or delayed unless due to sickness.

                g) In the unlikely event of rescheduling the photographer will find the closest available session date.
